Planning a social life around shifts
Shift work wrecks group plans because the rota arrives late, changes after it arrives and matches nobody else's. Put every rota and calendar side by side and the free days are there to read off.
This is one of three pages on who Vennado is for. The other two are for friend groups and families.
Why shifts and group plans do not mix
The rota arrives late. How late depends on the job. Police rosters in England and Wales are meant to be published at least three months ahead, according to the Police Federation's guide to Regulation 22. NHS England's e-rostering guidance asks for nursing rosters at least six weeks before they are worked. A restaurant rota may appear in the group chat the week before. Meanwhile your friends with office jobs want to book something for three months' time, and you cannot say yes or no.
It changes after it arrives. A swap, a bank shift, overtime, a cancelled rest day. The date you agreed to in good faith stops being free, and somebody has to tell the group.
It never matches anyone else's. A firefighter on two days, two nights and four off is on an eight-day cycle, so the days off move through the week. A nurse's long days and a chef's split shifts follow different rules again. Put three of those together with a couple of nine-to-fives and the only shared window may be a Tuesday nobody thought to suggest.
Free on paper is not free. The rota says "off" from the morning you finish nights. You know that means asleep. Your friends' calendars do not.
What Vennado does about it
- It reads the rota however it arrives. A screenshot from a rota app, the department spreadsheet, a PDF, a Word file, or a message pasted from the chat. You check every shift before it counts.
- It finds the windows when everyone is free, across the dates you set, including the midweek ones.
- It shows near misses, where everyone but one person is free, so you know which swap or request would make a day work.
- It can allow for sleep after nights, and you decide whether on call counts as busy.
- It suggests things that fit the window and a budget a head. A three-hour gap gets low-key ideas. Two free days in a row get nights away.
What it does not do is sync with your employer's rota system or update itself when your shifts change. There are no accounts and no app. You add the rota, and you add it again when it changes.
Pick your pattern
Each of these pages covers how that job's rotas really work and how to get them into a plan.
- DoctorsNights, long days, zero days and on-calls, read straight from the rota.
- Nurses and midwivesEarlies, lates and long days that change every roster period.
- Emergency servicesWatch patterns and rest days mapped months ahead.
- Hospitality and retailRotas that land a week before, straight from the group chat.
If the problem is wider than shifts
Not everyone in the group works shifts, and not every clash is a shift. Friend groups covers the mixed group with one or two rotas in it, and families covers school runs, clubs, shared custody and grandparents. The guides are practical how-tos that work with or without Vennado, including planning around night shifts and finding a date everyone is free. When you have the day, ideas by type and budget shows what a free window and a budget a head will cover.
Questions people ask
How do you make plans with friends when you work shifts?
Get every rota and calendar into one view before anyone proposes a date. With a repeating pattern you can do that months ahead. With a rota that lands a week before, do it the day it lands. Vennado does the side-by-side part: each person adds their own diary and it shows the windows when everyone is free.
What is a near miss?
A near miss is a stretch of time when everyone in the group is free except one person. For shift workers it is often the most useful thing on the page, because it tells you exactly which shift to try to swap, or which day to put in a request for, before the next rota is written.
My rota changes all the time. Is it worth adding?
Yes, but treat it as a snapshot. Vennado does not sync with rota systems, so when you swap a shift or pick up overtime you edit that shift or add the new version of the rota. It takes less time than explaining to five people why you can no longer make the 14th.
Can Vennado read the codes on my rota?
It tries, and it tells you which codes it had to guess. Codes are local: an N on one ward is not the same hours as an N on another. That is why every shift is listed for you to check and correct before it counts. Rota reading can misread, and you are the one who knows what the codes mean.
Do my friends see where I work or what shift I am on?
They see a block that says you are busy, marked as work, on call, personal or rest. They do not see the ward, the station, the shift code or anyone else's name from your rota. The rota file itself is read and then dropped. The privacy notice has the detail.
Put your rota next to everyone else's
Start a plan, add your rota however it arrives, and send one link. Vennado shows the days you are all free, and the days you are one swap short.
