Planning around hospitality and retail rotas

When the rota lands a week ahead and takes the evenings and weekends your friends are free, plan from the other end: use the weekday gaps, and get your requests in before the next rota is written.

Why this pattern is the hardest to plan round

Short notice. A plan for three weeks' time is a guess until the rota for that week exists. Friends who book ahead get used to your "probably".

You work when everyone else is off. Friday night, Saturday, Sunday lunch, bank holidays. Your weekend is Monday and Tuesday, and theirs is not.

Split shifts. Lunch service, a gap, then dinner service. On paper the gap is free time. In practice it is three hours in which you cannot go far and have to be back in whites by five.

Hours that move. On a zero-hours contract, GOV.UK says you do not have to do work when asked. Turning shifts down is a different matter when you need the hours, so the week often fills up after the rota is posted.

There are some fixed points. Workers are generally entitled to 11 hours' rest between working days and a 20-minute break when the working day is longer than six hours, though there are exceptions. Rights to reasonable notice of shifts and payment for short-notice cancellations are on the government's timeline for 2027, with timings to be confirmed after consultation. Until then, notice is whatever your employer gives.

Getting a week-ahead rota into Vennado

Add it the day it is posted, in whatever form it came.

  • A screenshot from the rota app or the group chat.
  • A photo of the printed sheet, as a last resort: photos of paper rotas are often misread, so check every line.
  • A pasted message, such as "lates Mon and Tue, off Wed, earlies Thu to Sat".

If the rota covers the whole team, Vennado asks which name is yours. It then lists your shifts with start and end times. Check the closes in particular: a shift written as "5 till close" has no end time on the page, so Vennado has to guess one. Put in the time you really get out. Rota reading can misread, and nothing counts until you have confirmed the list.

The group sees when you are busy and what kind of busy it is: work, on call, personal or rest. Never what, where or who with. The image is read and then dropped, and the privacy notice has the full account.

Some rota apps can publish your shifts as a calendar feed, which saves the weekly screenshot. RotaCloud's help centre, for example, has instructions for feeding its rota into Google Calendar. If yours does, connect it as a calendar link and refresh it each week. The guide to turning a rota into a calendar covers the options.

What to set by hand

  • The split-shift gap. If Vennado offers the gap between services as a free window and it is no use to you, mark it busy.
  • The weeks with no rota. Beyond the last day of your rota, Vennado shows you as free. Tap in the nights you nearly always work.
  • Extra shifts. When you pick one up, add it. Nobody else can see that your Tuesday has gone.

One week, worked through

Say you are a chef. Your rota arrives on Thursday for the week starting Monday: off Monday and Tuesday, splits Wednesday to Friday, doubles at the weekend. You screenshot it into the plan and change "close" on Saturday from Vennado's guess to 23:30.

  • Work shift
  • Family and personal
  • Everyone free
  • Near miss, all but one free

Your friend Sam teaches and is free from 4pm on weekdays. Dev is free once the children are in bed. The plan shows Monday and Tuesday from 7pm for all three of you. Saturday is a near miss: Sam and Dev are free from midday and you are on a double. This week's rota is fixed, so the three of you pick a Saturday three weeks out, and you ask for it off the same afternoon.

Asking for the date that matters

A request made before the rota is written stands a better chance than one made after. Use the plan to find the date before you ask. The near misses are the place to look: a near miss is a window when everyone is free except one person, and if that person is you on a Saturday three weeks out, you have a specific request to make and a reason to make it today.

What tends to fit

Your shared windows with nine-to-five friends are short and at odd hours: a weekday evening on your day off, a late breakfast before a late, a Monday. These are the kind of plans that fit a free Monday evening.

Those are guide prices a head for a typical UK city, to show what a budget covers. The live price is the one on the seller's site. There are more under food and drink and low-key nights.

Questions people ask

How can I make plans when my rota only comes out a week ahead?

For this week, add the rota the day it lands and look for the gap your friends share, which is often a Monday or Tuesday. For anything further out, pick the date with the group first, then ask your manager for it before that week's rota is written. A request with a date attached is easier to grant than a general plea for a weekend.

Can Vennado read a screenshot of the rota from the group chat?

Yes. A screenshot from a rota app or a message that says 'lates Mon and Tue, off Wed' can be added. A photo of the paper sheet on the office wall is often misread, so use the app or the file if you can, and check every line if you cannot. If there are several names on it, Vennado asks which is yours. It lists the shifts it read, and you correct anything wrong before they count.

What does Vennado show for weeks where I have no rota yet?

It shows you as free, because it only knows what you have told it. If you work most Friday and Saturday nights, tap those in as busy by hand for the weeks ahead so the group is not offered dates you will not get. Replace the guesses with the real rota when it arrives.

I am on a zero-hours contract. Do I have to take every shift I am offered?

GOV.UK says zero-hours workers do not have to do work when asked. New rights to guaranteed hours, reasonable notice of shifts and payment for short-notice cancellations are in the government's published timeline for 2027, with timings still to be confirmed. They are not in force yet.
