Planning around police, fire and ambulance shifts

A repeating pattern is known months ahead, but an eight-day cycle does not fit a seven-day week. Add yours to a Vennado plan and it shows which rest days your friends can make.

Patterns you can see coming

Patterns vary by service, by force and by duty system. These are examples from published sources, not a description of yours.

Fire. A common wholetime pattern is two day shifts, two night shifts and four days off. Northumberland Fire and Rescue Service calls it 2-2-4: days from 08:00 to 18:00, nights from 18:00 to 08:00, then four rota days. Warwickshire's page on fire control shift patterns describes the same shape for its control room staff, each assigned to Red, White, Blue or Green watch. Northumberland also runs a day staffing system of four day shifts with evenings on call, then four days off.

Police. In England and Wales, the Police Federation says duty rosters for constables and sergeants must be published at least three months in advance and should show rest days. The shift pattern itself is set by each force.

Ambulance. Rotas are set by each trust. As one example, South East Coast Ambulance Service said in a 2020 freedom of information response that its rotas allow no more than four 12-hour shifts in a row and give at least 48 hours' rest after nights.

Why a known pattern still clashes

An eight-day cycle does not sit still in a seven-day week. On 2-2-4, your days off move one day later each cycle. Over any eight weeks, three weekends fall wholly on rota days, and on one of those three you start Saturday by coming off a night shift at 8am.

Your friends' free time does sit still: evenings and weekends, every week. So the question is never "when am I off". It is "which of my rota days land on a day they can do", and that is tedious to work out by hand for three months.

One week on 2-2-4

Say you are a firefighter on 2-2-4. This week that means nights on Monday and Tuesday, then four rota days, Wednesday to Saturday. Your friend Sam teaches. Dev works office hours and has the children's football on Saturday morning.

Saturday, from middayThe one rota day the others can make in daylight. Wednesday, Thursday and Friday work from 5:30pm.

  • Work shift
  • Family and personal
  • Sleep after nights
  • Everyone free

Of your four rota days, the others can make three evenings, from 5:30pm, and one proper stretch: Saturday from midday, once the football is done, which is enough for a match day. Add three months of the pattern and the plan picks out the Saturdays like that one, cycle by cycle.

What changes the pattern

  • Cancelled rest days and recalls. For police in England and Wales, the Federation's guidance says published rosters should change only for exigencies of duty or at the officer's request, and that a rest day cancelled with less than 15 days' notice is compensated at time and a half. The plan you had for that day is still off.
  • Overruns. A shift does not always end when the rota says. The Scottish Ambulance Service's own procedure on shift overruns acknowledges that they occur. Do not plan anything for the two hours after a shift is due to finish.
  • Overtime and leave. Both are your choice, and both need adding.

Getting a pattern into Vennado

You do not have to type every shift.

  • Upload what you already have. A screenshot or PDF of your shift calendar or roster. Vennado lists the shifts it read and you check them before they count.
  • Or set it up once in your own calendar. Create the pattern as repeating events, then connect that calendar with a link. Vennado reads repeating events, and you refresh the link when something changes. See turning a rota into a calendar and how to get your calendar link.
  • Or tap the busy days in by hand.

Then check the plan's settings. Allow sleep after a night shift blocks the seven hours after each night, so your first rota day does not start at 8am. On call counts as busy matters if you work a day staffing or on-call system. Planning around night shifts has more on that first rota day.

Rota reading can misread, and a year planner full of coloured squares is harder to read than a list of dates. Check the first full cycle carefully. If that is right and the pattern is regular, look at the first shift of each later month to confirm it has not slipped a day.

What the group sees

The group sees when you are busy and what kind of busy it is: work, on call, personal or rest. Never what, where or who with. The privacy notice sets out what is stored.

Questions people ask

What shift pattern do UK firefighters work?

It varies by service and by duty system. A common wholetime one is 2-2-4: two day shifts, two night shifts, then four days off, as Northumberland Fire and Rescue Service describes it. Day staffing and on-call systems work differently, so check your own service.

How far ahead do police officers know their shifts?

At least three months ahead in England and Wales, for constables and sergeants. That is the Police Federation's guide to Regulation 22, which also limits later changes to cases such as exigencies of duty. The pattern itself differs from force to force.

How do I add a repeating shift pattern without typing every shift?

Upload a screenshot or PDF of your shift calendar and check what Vennado read. Or set the pattern up once as repeating events in your own calendar and connect it with a calendar link, which Vennado reads including the repeats. Or tap the busy days in by hand. The guide to turning a rota into a calendar covers the repeating-event method.

What happens if a rest day is cancelled after we have booked?

Vennado cannot know until you tell it. Edit your diary in the plan and the window drops out for everyone. It does not rebook anything or move tickets, because bookings are made with the seller and not inside Vennado. When you book around a rest day, check the seller's refund and exchange terms first.

Lay your pattern over everyone else's

Add your shift pattern for the next three months and send one link. Vennado shows which rest days your friends can actually make.
